Position Overview:
Provides administrative support to assigned Financial Advisor(s) to deliver superior customer service, maximize sales and maintain accurate customer records. Complete processing for new investment accounts, redemptions, beneficiary changes, and other necessary account maintenance.
Primary Responsibilities:
Performs any functions necessary, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers:
- Provide customer service to existing and new customers in support of an assigned Financial Advisor. Work to build customer relationships and maintain a high level of customer satisfaction through one on one communications by phone, in person and by e-mail.
- Support the efforts of the Representative including setting appointments, implementing direct mail campaigns, performing general clerical duties, general correspondence, making copies, ordering supplies, and other assignments as needed.
- Accurately input client data into investment systems following established procedures.
- Correspond with clients to complete new accounts, customer quote requests and direct inquiries to appropriate personnel.
- Handle routine matters for client accounts, including processing name and address changes, account applications and bank authorizations, answering client questions via telephone and face to face
- Maintain client records and update contact history as appropriate
- Maintain daily files of transaction notices, orders, confirmations, and additions to customer files.
- Maintain up-to-date cross-reference files on customer investment positions. Maintain compliance-required files.
- Provide general administrative support to the Financial Advisor(s) as needed.
Other Responsibilities:
Perform related and unrelated duties as may be required.
Qualifications:
- High School diploma required, some college desirable.
- Prior experience in a brokerage or investment environment providing administrative support and/or customer service desirable. Two to three years business experience.
- Effective oral and written communication. Ability to communicate with the public and home office personnel.
- Exceptional customer service attitude. Professional appearance and demeanor.
- Ability to prioritize tasks within defined responsibilities and apply bank and department policies and procedures.
- Strong organizational skills.
- Proficiency with Microsoft Office Word, Excel, PowerPoint. Willing to learn additional business software platforms.
- General knowledge of the firm, the products and services available, and various department functions, or ability to learn.
- Team oriented, with the ability to work independently. Must be proactive
